WE HAVE UPDATED OUR PRIVACY STATEMENT ON 27 SEPTEMBER, 2022

The Finnish National Opera and Ballet protects the personal information of the users of its services and its partners in accordance with the Data Protection Act and other applicable laws, as well as privacy best practices. This Privacy Statement describes how the Finnish National Opera and Ballet, collects and processes personal information. Personal information includes any data item that can be associated with an identifiable person.

The primary basis for handling personal information is the use of the services of the Finnish National Opera and Ballet or the consent of the user.

The electronic services of Opera Beyond, such as the purchasing of conference tickets, application to a competition, or following the progress of the project, can be provided on various platforms, and the services may include links or access to the sites or services of other parties. When purchasing conference-related services, you may be directed to our service provider’s site. The Finnish National Opera and Ballet is not responsible for the privacy practices or terms of use of third parties.

What information do we collect?

The Finnish National Opera and Ballet may collect necessary information about individual users of its services, applicants, donors, partners, and potential partners for the purposes specified in this Privacy Statement. The purpose determines which kind of information is collected in a particular situation.

Your personal information may be collected when you buy tickets for the Opera Beyond conference, apply to the First Session competition, subscribe to our newsletter, visit our website or otherwise communicate with us. The Finnish National Opera and Ballet collects personal details such as those mentioned below.

1. Information provided by you or obtained from other sources

  • Contact details, such as name, addresses, telephone numbers, email addresses submitted via contact and application forms
  • Title or occupation, place of work, company VAT number
  • Information on the customer relationship, such as ticket ordering data, customer feedback, contacts, memberships, representations and replies to customer queries
  • Donation information
  • Data shown in the comments form and screen name
  • Any other information left by you in the open form comments or question boxes
  • Any permits and consents
  • Any opt-out data

For competition applicants we will also collect

  • Team members contact details, such as name, addresses, telephone numbers, email addresses
  • Any additional information disclosed to us in the duration of the project, which is directly linked to your submission, like work experience.

2. Information observed and deduced from the use of services

When using the services of the Opera Beyond [managed by the Finnish National Opera and Ballet], we collect the following information in accordance with your cookie selection.

  • Data collected by the analytics systems of online services (see “How do we use cookies?”)
  • The website used to access the website of Opera Beyond and which pages you have viewed
  • Device identifiers, such as terminal device model and unique device and/or cookie ID
  • Data collection channel: Internet browser, mobile browser, application, and browser version
  • IP address
  • Operating system of the terminal device
  • Screen resolution
  • Session ID as well as session time and duration
  • Information obtained from the users’ prior use of the services of the Opera Beyond and/or its partners based on observed usage patterns and/or user-provided information, such as demographics, interests and other criteria used to classify users

Why do we process personal information?

1. Customer service

Your personal information may be used for user identification and to improve the services of the Finnish National Opera and Ballet. This helps us make our services more personal and user-friendly; for example, we may recommend events or news that may interest you. Your personal information may also be used to respond to your requests and questions.

2. Improving services

Your personal information may be used for inquiries and surveys related to the services and contents provided by the Opera Beyond [managed by the Finnish National Opera and Ballet]. We can combine data collected through various services and generate statistics for the purpose of developing services.

3. Marketing as well as customer, donor and partner communications

At your consent, your personal information can be used in the marketing and customer communications of the services of the Finnish National Opera and Ballet, for example in order to send you notifications about our services and to contact you about customer service or service related matters. Opera Beyond newsletters may also contain offers from partners approved by the Finnish National Opera and Ballet, Opera Beyond related news, and donor opportunities.

As a donor, you may consent to the use of your personal information in donor communications and donor relationship management.

While representing our partner or potential partner, you may consent to the use of your personal information in partner marketing and partner relationship management.

4. Competition

The data you supply in a competition application form is used for the use of identifying the team and its members, and for judging the submitted concept. Some data may also be used in marketing, for example when announcing the winning concept your names will be used.

How do we store and combine personal information?

As described above, the services of the Finnish National Opera and Ballet may store information on the use of the services of the Finnish National Opera and Ballet to enable various functionalities. Data collected from different sources can be combined if a person is reliably identified. In this way, we can provide personalized services based on automatic combination and analysis of personal data.

Do we disclose personal information?

The Finnish National Opera and Ballet will not, in principle, disclose your personal information to parties outside the Finnish National Opera and Ballet, except in the following situations:

1. With your consent

We will publish your name, project team role (and some additional approved details) on the Opera Beyond website if shortlisted in the competition. You may feature in press releases, or social media marketing made by the Finnish National Opera [on behalf of Opera Beyond]. If you are successful in winning a competition, we may request additional information about yourself or team members and will notify you of any updates in information publicly disclosed, to the media for example. Your personal information may be disclosed, with your consent, for purposes involving third-party services.

2. Subcontractors and service providers

The Finnish National Opera and Ballet may use subcontractors and service providers for technical maintenance of its services, customer service, user data management and analysis, surveys, customer communications or implementation of various campaigns. Your personal information may be disclosed to the subcontractors and service providers of the Finnish National Opera and Ballet only to the extent necessary for them to participate in the provision of the services of the Finnish National Opera and Ballet and implement the functions described in this Privacy Statement.

Such third parties may not use your information for any other purpose than those described in this Privacy Statement and defined by the Finnish National Opera and Ballet. The Finnish National Opera and Ballet obliges them to keep your information confidential and provide adequate security to protect your personal information.

3. International data transfers

To carry out services and process your personal information, the Finnish National Opera and Ballet uses primarily providers and services located within the EU or EEA. Even if the information is transferred outside the EU, the Finnish National Opera and Ballet will ensure an adequate level of protection of your personal information by agreeing on the confidentiality and processing of personal data as required by law using, for example, the standard contractual clauses approved by the EU Commission. Processing of personal data is carried out in accordance with this Privacy Statement.

4. Research

In some cases, we may disclose information for scientific or other research, provided that such information has first been converted to a format that does not allow the identification of individuals.

5. Disclosures required by mandatory legislation

Your personal information may be disclosed to satisfy the requests of competent authorities and statutory requirements.

How do we ensure the timeliness of the information?

We take all reasonable care to ensure that the personal information in our possession is valid by removing unnecessary data and updating outdated information.

Please inform us if your information has changed so that we can keep our records up to date during the project.

How do we protect your personal information?

We pay special attention to data protection and security in the design, implementation, and maintenance of our services. We use appropriate physical, technical and administrative safeguards to protect your personal information. Data protection and security are in the hands of specifically assigned persons. Access to systems containing customer data is limited to employees who need to process such data in the course of their work duties. The data is saved in databases protected by firewalls, passwords, and other technical means.

In the implementation of data protection and security, we use measures such as proactive risk management, awareness of data protection and security during service design, providing training to our employees, and regularly verifying that our services comply with laws and regulations.

How do we use cookies?

We use cookies to improve our communication as well as the functionality and user friendliness of our website. We also use cookies to store your settings and to notify you about topics that may interest you. When entering the Opera Beyond website, you are asked to make a cookie selection. This allows you to select the purposes for which you permit us to collect data via cookies and similar technologies.

Cookies help the Finnish National Opera and Ballet and its partners track the volume of service users as well as analyze and develop services to better serve the visitors. In addition, the partners of the Finnish National Opera and Ballet may target advertising by using cookies that collect information about users’ visits to this and other sites. The information collected with cookies is used to provide targeted advertising based on the visitor’s interests. When targeting advertising with cookies, visitors are not identified and the information is not linked to any personal information received from the user in some other connection.

How long is the information retained?

We will retain your information in accordance with current legislation for as long as is necessary for the purposes defined in this Privacy Statement, at maximum 5 years after the project ends. Cookie selection information is kept for 12 months, after which the information is automatically deleted.

What are your rights?

You are entitled to inspect the information we have collected about you. You also have the right to demand correction or removal of incorrect, incomplete, unnecessary or outdated personal information.

You can make a request for inspection or removal of your personal data by emailing Annastina.haapasaari[at]opera.fi. To identify the user, the request must be sent from the same email address that you have provided to the Finnish National Opera and Ballet. Information about the personal data on file will be returned to that address.

You can also deny the Finnish National Opera and Ballet’s right to use your information for direct marketing or customer satisfaction surveys and other studies. However, we may continue to send you notices related to our services, for example, information on changes to events.

Changes to this Privacy Statement

The Finnish National Opera and Ballet may periodically make changes to this Privacy Statement without prior notice. Such changes may also be warranted by changes in legislation. We recommend that you read this Privacy Statement from time to time to learn about any changes.
